Ask three IT support providers for a quote on the same 25-person office and you'll typically get three very different numbers — one built around a cheap per-device rate, one around a per-user monthly retainer, and one that reads like it was priced for a bank. None of the three quotes is necessarily wrong. They're pricing different levels of service that all get sold under the same label: 'IT support'.

What actually drives the price

Four things determine what a managed IT contract costs, and none of them is the provider's logo or how confident their salesperson sounds on the call.

  • Response time guarantee — a 4-hour SLA costs meaningfully more to staff than a next-business-day one, because it requires the provider to keep spare technician capacity on hand.
  • Scope — remote helpdesk only, versus remote plus on-site visits, versus remote plus on-site plus proactive monitoring and patching, are three different products at three different prices.
  • Device and user count — most contracts price per user or per device per month, so the headline number needs multiplying by your actual headcount before it means anything.
  • Complexity — a business running a single cloud-based accounting tool costs less to support than one running an on-premise server, custom software and multiple locations.

The price bands, honestly described

₹1,500–₹3,000 per user/month: Remote helpdesk only

Email and software troubleshooting, password resets, basic virus removal — handled remotely during business hours, usually with a next-business-day response time. This is legitimate for a small office with straightforward, mostly cloud-based software. What's absent: no on-site visits, no proactive monitoring, and often no coverage for network hardware like routers and switches.

₹3,500–₹7,000 per user/month: Standard managed IT

This is the realistic range for most growing Indian SMEs. It typically includes remote helpdesk with a same-day response, scheduled on-site visits, proactive monitoring and alerting so problems are caught before they're reported, patch management across devices, and basic cybersecurity hygiene like endpoint protection. This tier is priced to prevent problems, not just fix them after the fact.

₹8,000–₹20,000+ per user/month: Enterprise-grade managed IT

Guaranteed response times measured in minutes rather than hours, dedicated account management, advanced security monitoring, compliance support, and often a named engineer who knows your environment personally. This tier makes sense for finance, healthcare or any business where downtime has a direct, immediate cost — for most SMEs, it's more coverage than the risk actually justifies.

What's usually missing from the headline number

  • Onboarding and setup fees — migrating your existing environment onto a new provider's monitoring tools is frequently billed separately in the first month.
  • Hardware and software licensing — antivirus, backup storage and monitoring tools are sometimes bundled, sometimes charged on top. Ask explicitly.
  • After-hours and emergency support — a contract priced for business-hours coverage may charge a premium, sometimes a steep one, for a genuine after-hours emergency.
  • Project work — a new employee's full workstation setup, an office move, or a server migration is usually scoped and billed separately from the monthly retainer.

How to compare quotes fairly

  1. Ask for the response time SLA in writing, not as a verbal promise — and ask what happens if they miss it.
  2. Ask exactly what's included versus billed as a separate project, especially onboarding and after-hours support.
  3. Ask how many other clients one technician is realistically responsible for — a provider spread too thin can't hit its own SLA no matter what the contract says.
  4. Ask for two references you can actually call, not just a client logo slide.
  5. Multiply the per-user rate by your real headcount, including anyone who'll be hired in the next six months, before comparing the total against a competing flat quote.

The cheapest IT support contract is rarely the cheapest one over a year. It's the one priced honestly enough that nothing important got left out of the number you were shown.

Is managed IT support worth it at all?
